RESERVATIONS AND ACCOMMODATION

The management of HOTEL ESPS Ltd. undertakes to ensure the use of the services requested and paid for by the client through online booking, in their full quantity and quality according to the data provided by the client through the reservation form: client name, period, number of nights, number of adults and children, price per night.

All customer requests, filled in the “Note” field in the reservation form, will be fulfilled if possible.

Only persons under the specified age on the date of arrival are accepted in the child reservation.

PRICES AND PAYMENT

The prices on the website of HOTEL ESPS LTD are in Bulgarian leva (BGN), including VAT, tourist tax and insurance. The total amount due by the client is calculated automatically, depending on the number of days, the number of adults and children and the current price offer for the relevant period.

When making online reservations for guarantee purposes, it is necessary to pay 100% of the total amount of the reservation at the time of booking, via debit/credit card or at the latest within the specified period after booking by bank transfer.

HOTEL ESPS Ltd. reserves the right to change prices and special offers on its website depending on demand and current availability. For reservations already made, confirmed and paid, the amount due does not change, regardless of the new price offers presented.

CANCELLATIONS AND CHANGES TO RESERVATIONS

In case of cancellation, non-use or change of an already paid online reservation by the client, HOTEL ESPS LTD will refund the amount paid upon request, charging the appropriate penalty:

Changes to a reservation without penalty can be made up to 7 days before the check-in date.

Cancellation without penalty is made up to 7 days before the check-in date.

In case of change or cancellation after this period, a penalty in the amount of the prepaid deposit is due.

When refunding a paid amount, all transfer costs (bank fees and others) are at the expense of the client. Refunds due to cancellation are made within a 30-day period depending on the payment method, the amounts are refunded only to the bank account from which they were received. Your card details are used only by the intermediary bank and are not stored by us.

TYPES OF PAYMENTS

Payment can be made in 3 different ways:

  1. Electronically with a debit or credit card

We accept payments with Visa, Visa Electron, V Pay, MasterCard, MasterCard Electronic or Maestro cards. When you select this payment method, a payment page of our servicing bank (UniCredit) opens, where you enter your card details. If you are registered in the Verified by VISA or MasterCard SecureCode authentication schemes, an authentication page of your Issuing bank opens, where you enter your authentication password. Upon a successful transaction, a transaction note is displayed on the screen, which you can print or save.

Your card details are only used by the intermediary bank and are not stored by us.

To protect you from abuse when paying with your Visa or MasterCard card, we apply the best practices recommended by international card organizations:

Security when entering and transferring card data is ensured by using SSL protocol to encrypt the connection between our server and the payment page of our servicing bank.

The authenticity of your card is verified by entering a security code (CVV2).

In addition, for your identification as a cardholder, the e-commerce payment server of our servicing bank supports the authentication schemes of international card organizations – Verified by VISA and MasterCard SecureCode, in case you are registered to use them.

At the time of online booking, the aforementioned amounts will be automatically withdrawn from your card upon completion of the payment process.

From a security point of view, the maximum amount for card payment is 3,000 leva.

  1. By bank transfer

Payment of the specified amount must be made no later than the deadline specified after the reservation. After making the payment, it is advisable to send a copy of the payment document to [email protected] and be sure to include the reservation number in the reason for payment.

  1. In cash, at the reception of HOTEL ESP LTD.

For reservations with a check-in start date within the next 3 days, it is recommended to choose cash payment at reception to speed up the reservation processing process.

IMPORTANT!

If the online reservation is not paid within the specified period and if payment is made by bank transfer, a copy of the payment document is not sent, your reservation will be automatically canceled by the reservation system.

In case you are prevented from paying the amount for an online reservation that has already been made, please notify us by e-mail: [email protected] In case of failure to comply with this condition, HOTEL S.P.S. Ltd. has the right to seek liability and penalties for made and unpaid reservations.

REFUND OF AMOUNTS

In the event that the customer cancels their reservation under the conditions stated above, we will refund the amount via the same payment method used for the reservation.

Refunds for amounts paid by bank card or bank transfer can only be made to the bank card or bank account used for payment. All bank fees for this transaction are at the customer’s expense.

RIGHTS AND OBLIGATIONS OF THE PARTIES

HOTEL ESPS LTD undertakes the obligation to provide the client with the services requested and paid for in full.

HOTEL ESPS Ltd. undertakes not to change the price of the services requested by the client, except in exceptional cases when this is economically justified.

HOTEL ESPS Ltd. is not liable for damages caused by actions of third parties.

Amounts for services requested but not used in whole or in part due to the client’s fault are not refundable.

The client assumes responsibility for observing generally accepted standards of good behavior during their stay at the hotel. All costs for material damage caused to the hotel are borne by the client.

HOTEL ESPS Ltd. reserves the right to change the information on this page and the general terms and conditions at any time. Although every effort is made to provide true and accurate information, this cannot always be guaranteed.

When a customer makes a reservation, it is considered that he has read and agrees to these general terms and conditions. Reservations accepted by phone, e-mail or through our website are considered to be an emerging contractual relationship. The payment made is considered acceptance of the general terms and conditions for staying at the hotel.

PRIVACY AND PERSONAL DATA POLICY


1. Information about the administrator and how to contact them.
HOTEL SPS OOD is the administrator of the personal data processed in connection with the Company’s commercial activities in line with the law, and its registered office and management address are: Plovdiv, 3 Osvobozhdenie Blvd. Correspondence with the Company should be addressed to Plovdiv, 3 Osvobozhdenie Blvd, and requests to the Company as data controller can be sent by post. Requests can also be addressed to [email protected] or by fax, with the relevant identification and contact information for feedback.

2. Purposes and grounds for processing personal data, categories of data processed.

HOTEL SPS OOD carries out its activities in accordance with national legislation, processing personal data in connection with the following main activities:
– Personnel administration;
– Financial and accounting reporting;
– Video surveillance.

The Company processes personal data on job applicants, employees/workers, natural persons who are parties to contracts, and representatives of legal entities who are parties to contracts/customers or suppliers for the purposes of personnel administration (human resources management) and financial and accounting reporting under Articles 6, paragraph 1, item “c” and 9, paragraph 2, item “b” of the Regulation. Individuals’ physical and social, family and economic identities, criminal records, and health status are among the kinds of data analysed.

HOTEL SPS OOD collects personal information from all employees/workers and visitors to the Company’s building/premises for video surveillance reasons. The categories of personal data collected relate to persons’ bodily identities as depicted in photos.

When the Company processes data with the consent of the data subject, personal data will only be handled if the individuals have freely, expressly, informed, and unambiguously indicated their consent to the processing.

Data processing is carried out for specific and precisely defined reasons, as required by law, and the data is treated legitimately and in good faith, and it may not be further processed in a manner that contradicts those aims.

3. Categories of data recipients outside HOTEL SPS OOD
The company does not reveal personal data to third parties or receivers unless there is a legal basis for doing so or the data is publicly available because it is included in a public register. Except in circumstances of public availability of data contained in a public register, recipients of data may, depending on the specific case, be:
– State authorities and bodies charged with public functions within their jurisdiction (National Revenue Agency, National Social Security Institute, Ministry of Interior, etc.);
– Banks, for the purposes of making payments of remuneration;
Courier companies and postal operators – for the purposes of correspondence with natural persons who are data subjects

4. Data retention period.

As a data controller, HOTEL SPS OOD processes data for a minimal period of time in accordance with the processing purposes and the provisions of applicable legislation, in accordance with the storage restriction principle. Data relating to labour and social security connections must be retained for 50 years, while other data must be stored for 2 months to 10 years, depending on the kind of data and the legal duty for processing, including storage.

5. Rights of natural persons who are data subjects.

The steps implemented to secure personal data in line with the requirements of Regulation 2016/679 are aimed at ensuring the rights of data subjects whose personal data is processed, which include:
– Right of access;
– Right to correct inaccurate or incomplete data;
– Right to erasure (right to be forgotten) if the conditions of Article 17 of REGULATION 2016/679 apply;
– Right to restriction of processing;
– Right to data portability, if the conditions for portability under Article 20 of REGULATION 2016/679 are met;
– Right to object, if the conditions of Article 21 of REGULATION 2016/679 are met.
– Right of the data subject not to be subject to a decision based solely on automated processing, including profiling.

The aforesaid rights can be exercised by submitting a request to HOTEL SPS OOD (in writing or electronically). The request should be signed and sent to the Company’s address.

6. Right to lodge a complaint with the Personal Data Protection Commission.

If a data subject believes his or her rights under Regulation 2016/679 have been violated, he or she can file a complaint with the Personal Data Protection Commission.

Transfer of personal data to third countries or international organizations.

HOTEL SPS OOD does not transfer the processed personal data to third countries or international organizations.

7. Measures introduced by HOTEL SPS EOOD for the protection of personal data.

The Internal Rules of HOTEL SPS OOD on personal data protection measures, adopted by Order No. 32/06.12.2018, provide for the effective protection of personal data processed and allow data subjects to exercise their rights under REGULATION 2016/679.

For all disputes and legal issues not settled by these general terms and conditions and the privacy policy and arising in connection with the use of the website www.hotelspsplovdiv.com www.hotelspsplovdiv.com, the mandatory legal provisions in the Republic of Bulgaria shall apply.
